What is a GRC (guest registration card)?

A GRC, or guest registration card, is the form completed at check-in that records who is staying: name, address, ID details, nationality, arrival and departure dates, room and rate, and the guest's signature. It is the hotel's legal record of the stay.

What a GRC contains

A typical registration card includes:

  • Guest name, address, phone and email
  • ID type and number, with a copy of the ID
  • Nationality, and passport and visa details for foreign guests
  • Arrival and departure dates, room number and rate
  • The guest's signature accepting the hotel's terms

Why it matters

Hotels are required to keep guest records and produce them for the authorities on request. For foreign nationals in India, the same details feed Form C. A digital GRC, with ID details read from a photo, removes most of the typing at the desk.

Common questions

Is a paper GRC still required?

The requirement is to keep the record and the guest's acknowledgement. Many hotels now capture it digitally and print or store a PDF.
