01Before you sign
Most slow migrations are slow because of decisions, not data. Settle these first.
02Export your data
Ask for each of these as a spreadsheet or CSV. A PDF is a last resort but can still be used.
03Channel manager and payments
04Set up and train
05Parallel run
Run both systems for one shift before you switch.

Want someone to do this with you?
StaySynq's team runs the data import, the parallel run and the cutover with you, and most properties go live in 5–7 days. See how hotel PMS migration works, or compare StaySynq with Cloudbeds.
FAQ
Common questions.
How long does a hotel PMS migration take?
Most of the time goes on decisions rather than data. With the setup kept as it is and an experienced team doing the import, a migration usually takes about a week, including a one-shift parallel run.
When is the best time to switch PMS?
In your quietest week, on a weekday morning, with no large group arrivals or festivals that week. Avoid month end so your accounts close on one system.
Do card tokens transfer to a new PMS?
Often not. Tokens usually belong to the old system's payment setup. Ask your current vendor and gateway early, and plan to re-collect payment details for future bookings if they can't move.
What should I keep from the old system?
Keep read-only access for at least 30 days and a full export of reservations, folios and invoices for your records and tax audits.
