What is a BEO (banquet event order)?

A BEO, or banquet event order, is the document that sets out everything a hotel must deliver for an event: date and timings, hall and layout, guest count, menu, beverages, equipment, staffing, billing instructions and the client's contact. Every department works from it.

What a BEO contains

A complete BEO covers:

  • Event name, date, start and end times, and the hall
  • Guaranteed and expected guest numbers
  • Menu, service style and beverage arrangements
  • Room layout, décor, audio-visual and other equipment
  • Prices, advance received and how the balance will be paid

When it is finalised

The BEO is issued once the event is confirmed and is revised as details change. It is normally locked a few days before the event, after which changes need approval, because the kitchen has already ordered against it.
